Company Information

Company Info

Description: This is where you tell us about your company or change your company information, including your payroll details.

Location: Company > Company Info

Pay and Tax Overview

Company & Payroll Settings

Description: From employees paid by direct deposit to payroll timesheet format, this is where you can set up advanced features on your Wagepoint account to personalize it further.

Location: Account Settings > Settings

Note: To view the equivalent of the QuickBooks Online Advanced Payroll payroll taxes report in Wagepoint, navigate to Reports > Receiver General

Bank Account

Banking Info

Description: This is where you set up your company banking details (either a voided cheque or entering details from your online account) and ensure that all payroll payments are debited directly from your business bank account. 

Location: Banking > Banking Info

Note: 

  • Typically, when banking information has been entered, we run a bank authorization check just to make sure the user is legitimate. In QuickBooks Online Advanced Payroll, business bank accounts were verified by Wagepoint. As a result, you WILL NOT require any further verification. However, if you change your bank account details in Wagepoint, please allow 4-6 business days for our team to verify your bank account.

ROE Authorization

Record of Employment (ROE) Authorization

Description: This is where you can find the required form to e-sign and fill out to authorize Wagepoint to generate and submit ROEs to Service Canada on your behalf. 

Location: Company > ROE Authorization

Note:

  • If you’ve already authorized Intuit QuickBooks to prepare and submit ROEs on your behalf, we are working with Service Canada to migrate your company under the Wagepoint ROE Web account while maintaining your active status.

  • The process to create an ROE in Wagepoint is slightly different from QuickBooks Online Advanced Payroll. It will be more hands-off for you, but the outcome will be the same. Learn how to create an ROE.

Pay Schedules

Paygroups

Description: This is where you can create, view and modify a paygroup. The paygroup feature lets you group your employees based on their pay frequency, their location, or even their type (i.e. employees vs contractors). We automatically create a paygroup based on the payroll frequency you select during setup, but you can add more paygroups as needed.

Income Types

Income Types

Description: This is where you can add additional income types to account for any earnings outside of regular pay, like overtime, bonuses and vacation pay. By default, we set up our users with commonly used income codes, but you can request custom codes configured to your liking.

Location: Company > Income Types

Note: To create a duplicate of the same code, you must request for a custom code from our technical support team, who will create the code for you within 1-3 business days. Once it’s completed, you will receive an email notification from our team.



Deductions & Benefits

Deduction Types

Description: This is where you can determine which benefits your employees will contribute toward including dental/health insurance, life insurance, etc. You can choose from our predefined list of benefits to add or create all the deduction types that are relevant to your company.

Location: Company > Deduction Types

Note: To create a duplicate of the same code, you must request a custom code from our technical support team, who will create the code for you within 1-3 business days. Once it’s completed, you will receive an email notification from our team.

Workers’ Compensation

Workers' Compensation (WCB/WSIB)

Description: This is where you can get an overview of every employee who has a WCB/WSIB rate assigned to them and the amount calculated toward WCB/WSIB contributions. 

Location: Reports > More > Workers’ Comp

Note:

  • Automatically calculating/remitting Workers’ Compensation is an advanced feature in Wagepoint that must be manually enabled. Once enabled, WCB/WSIB taxes are automatically remitted as per the remittance schedule indicated in the Company info tab. Learn how to set up the automatic workers’ compensation calculation feature.

  • Employers are responsible for reporting insurable earnings and gross wages to the respective provincial workers’ compensation agency — in other words, we can calculate and remit to the Board for you but CANNOT submit the required report on your behalf.

  • We CANNOT remit WCB/WSIB dues in the following provinces and territories – New Brunswick, Newfoundland and Labrador, Northwest Territories, Nova Scotia, Yukon

Manage Users

User Accounts

Description: This is where you access certain items related to your employees’ employee portal account details. For example, you can invite them to set up their online account as well as determine their access level. You can also invite your employee to access their paystubs online by clicking the envelope icon in the Employees > Active Employees tab.

Chart of Accounts

QuickBooks Online Integration

Description: If you use QuickBooks Online to manage your company's accounting needs, this is where you can connect Wagepoint with your QuickBooks Online account to better track your payroll expenses. 

Location: Add-ons > QuickBooks > Chart of Accounts Tab

Note:

  • You will NOT be required to re-enter your Chart of Accounts data — this information is already accessible in Wagepoint.
  • Similar to QuickBooks Online, all of your information is organized into expandable sections. If any information is missing, an orange (!) icon will show up next to the tab. To map your accounts, scroll down to the appropriate section and assign the account. Learn how to map your Chart of Accounts.
  • Our QuickBooks Online integration also offers an automatic sync function that lets you instantly create posting journal entries in QuickBooks Online every time a payroll is finalized in Wagepoint. To turn on this feature, automatic sync must be enabled within the QuickBooks Online add-on tab. Note: You can still manually export this information if this is your preference. Learn more about exporting payroll data into QuickBooks Online.

E-mail Notifications

E-mail Notifications

Description: This is where you can pick and choose the e-mail notifications you would like to receive from us. We provide three categories of alerts: payroll processing, birthdays and anniversaries and managing administrator. 

Location: Account Settings > Settings

Company Holidays

Company Holidays

Description: This is where you load or add holidays to activate automatic statutory holiday pay calculations for hourly employees. Our statutory holiday pay calculations are based on the federal General Holiday formula.

Location: Company > Company Holidays 

Note: Employers are responsible for determining employee eligibility to receive statutory holiday pay. 

Departments

Departments

Description: This is where you set up the separate departments within the company. The Departments feature comes in handy for accounting purposes, as you can assign payroll expenses from employees to departments. 

Location: Company > More > Departments

Note: 

  • Departments are required if you need to set up an employee with multiple assignments.

  • This feature is auto-enabled for users who have already set up Departments in QuickBooks Online Advanced Payroll. This means you don’t have to worry about taking any action as this information will already be in our system.

  • If you would like to add departments in Wagepoint and haven’t done so in QuickBooks Online Advanced Payroll, please review the instructions here.

Job Titles

Job Titles

Description: This is where you set up job titles/roles. The Job Titles feature is helpful for organizing employees as you set them up in Wagepoint.

Location: Company > More > Job Titles

Note: 

  • Job titles are required if you need to set up an employee with multiple assignments.

  • This feature is auto-enabled for users who have already set up Job Titles in QuickBooks Online Advanced Payroll. This means you don’t have to worry about taking any action as this information will already be in our system.

  • If you would like to add job titles in Wagepoint and haven’t done so in QuickBooks Online Advanced Payroll, please review the instructions here.

Locations

Locations

Description: If your company has multiple locations, you can add this information here. The Locations feature is convenient for assigning employees to specific locations.

Location: Company > More > Locations

Note: 

  • Your company’s headquarters will be displayed by default. Learn more about adding company and payroll information.

  • This feature is auto-enabled for users who have already set up Locations in QuickBooks Online Advanced Payroll. This means you don’t have to worry about taking any action as this information will already be in our system.
